Privacy policy
What personal information we collect for orders, learning and support, why, how long we keep it, and your rights.
1. Who is responsible
CoreKnowledge (legal entity name and registration number: to be confirmed) is responsible for your personal information. Information Officer: George Mureithi, coreknowledgedigital@gmail.com · WhatsApp +267 76 066 483 · Gaborone, Botswana.
We follow the Botswana Data Protection Act and, where it applies to you (for example South African residents), the Protection of Personal Information Act (POPIA).
2. What we collect
- Contact and order details: name, email, phone, organisation, VAT/PO numbers, billing details.
- Proof of payment files you upload (PDF or image).
- Staff lists uploaded by organisations: name, work email and, if supplied, staff number.
- Learning records: course progress, quiz results, submitted deliverables, feedback and certificates.
- Support messages and the replies we send.
- Website data: pages visited and form events through Google Analytics (see Cookies).
3. Why we use it
To quote, invoice and confirm payment; to open and manage your course access; to assess work and issue certificates; to answer questions; to report progress to the organisation that paid for your place; and, only with your consent, to send course news. You can unsubscribe at any time.
4. Who we share it with
Your employer or sponsoring organisation (progress and completion, for seats they paid for); service providers that host our website, learning portal and email; and authorities where the law requires. Where an organisation claims training costs from the HRDC levy, we provide the claim pack to that organisation, subject to HRDC rules. We never sell personal information.
5. Where it is stored
Our servers and service providers may be outside Botswana, including in the European Union. We use providers with appropriate safeguards.
6. How long we keep it
- Invoices, receipts and order records: as long as tax and accounting law requires.
- Proof of payment files: 24 months after the order is closed, unless needed for a dispute.
- Staff lists: while access is active, then 24 months.
- Learning records and certificates: so that certificates can be verified, for as long as the certificate may need checking (at least 5 years).
- Support messages: 24 months.
7. Your rights
You may ask to see, correct or delete your information, object to marketing, or complain. Email the Information Officer; we reply within 1 working day and complete requests within the time the law allows. You may also contact the data protection authority.
8. Security
Access is limited to staff who need it; files and order data are stored outside the public web area; links in our emails are personal and time-limited. Tell us at once if you think your account is at risk.
